Opening comments:
- Discussed need to settle on a club name, and held a vote. 9 out of 10 votes for "Arctic Offroad" to 1 vote for Arctic Flex Offroad. Let it be known that the final club name has been decided as "Arctic Offroad" .
- El Presidente has created an e-mail account for the club…arcticoffroad@hotmail.com.
New Business:- There will be a ‘Show and Shine’ event hosted by the Fairbanks Mudders at the Sears parking lot on Friday evening, June 21st from 7-9pm. This is a prep for Saturday’s Mud Boggs at the fairgrounds. We plan to attend Friday’s gathering and show what we have to offer.
- Jon McHugh has offered to host our first meeting as a named club, at his house Saturday evening (June 22nd). A time will be announced… keep checking your e-mails. A few items on the agenda are:
- By-laws will be distributed to officers
- A discussion and vote on Club Dues and the registration of spouses nationally
- Planning for a July 4th Trail Run
Finances: In a brief discussion with our treasurer… Leni mentioned the figure of $100 in our pot. This was a great surprise, and we hope to verify this at the meeting. - Review and discussion of By-laws
- Club Dues will be discussed and set
- Start planning a July 4th Run
Opening Comments:- While waiting for our VP to arrive, we admired the hood mod of Jon’s XJ. Before the meeting could start, Mike received a call to rescue a stuck Trans SSgt from ‘Michelle’s Mudhole’. We rode up and snatched his stock Ford out of the sticky brown stuff. The meeting finally got underway at 10:30pm, after we enjoyed a fabulous dinner prepared by our Treasurer.
New Business:- Club Dues was decided to stay at $25 per single member, and $35 for couples.
- The Raffle program was brought up, and we’ll try and work out a raffle for an item to be won at the next trail run. The raffle will be open to all members and guests present at the run.
- A trail run during the July 4th weekend is tentatively scheduled, and as we make more concrete plans, more will be posted on this. The plan is to try out a trail north of Fairbanks that Mike suggests on July 6th. More to come.
- Maps are a must… We’ll look into acquiring maps so we can plot and mark existing and discovered trails.
- A Car Wash was suggested to fatten our ‘kitty’. We need to look into whether or not we can organize a car wash while we are not yet an established National Sanctioned Organization. More to Come.
- Upon reading the By-Laws, it was decided that we needed to appoint two new positions to the ranks. An Equipment Manager and a Parlimentarian. Mike put the Equipment Manager vote ‘onto the table’. A majority of 4 to 1 said that a vote needed to take place for the position. Jon McHugh was nominated, a vote taken. The results were a unanimous 5 votes, and Jon is now our Equipment Manager, even though we have no equipment at this time. The position of Meeting Parlimentarian was unanimously agreed upon due to our tendency to get side-tracked in our discussions. It was obvious that Missy Graham would be great for the job, after she repeatedly brought it to our attention that we needed to press on with the agenda at hand. She was unanimously voted into the job. We will try and locate a copy of the Robert’s Rules of Reference to aid her in keeping us focused.
- Another position was brought up for further discussion at a later date…. A Club Photographer. Also, the club will need a photo album, and can be made up from photos from anyone. A Map Keeper was also discussed. Mike noted that this job would most likely fall under the VP’s duties as trail organizer.
- Several folks requested the Members Info listing from the Secretary. It was noted that a Privacy Act should apply, where individuals personal info will not be openly disclosed without permission. The Secretary will provide copies of the Member listing to everyone at the next meeting.
Finances: Currently we have $20 in the club fund, after the dues were sent off to the United Four Wheel Drive Association by the president. Closing statements: Our next meeting is scheduled for Sunday June 30th at 6pm at the McHugh residence (5134-B Koyuk). By-laws will be fine-tuned and hopefully signed. - Discussion of concerns/comments of Club By-laws
- Start planning a July 4th Run
New Business:- Club Dues ($25 per single member, and $35 for couples) will need to be paid to the treasurer as soon as possible. A few members were paid for when the National Registry packet was sent off, and our ‘kitty’ needs to be re-embursed. So, "Do the Dues".
- With the President back in town, and present, we reviewed concerns over a few items in the By-Laws Draft Copy. It was decided to drop the ’90 day to get another 4x4’ limit rule. Also we agreed to keep the annual month listed in the By-laws as June.
- A trail run is planned for July 4th located 20 miles north of Fairbanks near the Circle-Fairbanks Historic Trail. Everyone will meet at the North Pole Tesoro, and will depart at 9am sharp. Mr. Secretary will be e-mailing around pics of the proposed campsite, and we’re sure it will wow everyone. More to come.
- A Roster/Warning letter was suggested, to act as a ‘waiver of damages’ agreement. If adopted, it will be read by the president to all, and signed at the pre-trail brief. More to Come.
- The Raffle program was brought
